Poster Presentation Guidelines

Poster Session Policies

  • Your assigned presentation date/s cannot be changed. 
  • Posters are viewable for one day only.
  • To uphold the integrity of the meeting and be respectful of authors and speakers, recording by any means, including but not limited to: photographing, audio or video recording of any presentations or sessions during the meeting is strictly prohibited.
  • While we have tried to avoid this, if you have more than one poster to present and they are scheduled at the same day and time, but the posterboards are far from each other, please email meetings@aai.org. We will work to get them near each other.


Failing to display posters

Any authors failing to display their poster on their assigned day, and/or be present during their assigned poster session time will forfeit publication of their abstract in the on-line supplement to The Journal of Immunology. Corresponding AAI travel awardees will, additionally, forfeit their award.

Poster Presentation Policies

Poster Board Dimensions

The poster dimensions are 3’9″ high and 3’9″ wide. Be sure to note these dimensions as you will not be permitted to extend into another presenter’s space.

Poster Board Numbers

We will be assigning the poster board numbers once we’ve received all responses to the invitation to present. The board numbers will be emailed to all poster presenters prior to April 8, 2026.

Presentation Schedule

Set up: Between 7:00 AM – 9:00 AM EST on the assigned day, on the assigned board

Removal: Same day, between 3:30 – 4:30 PM ET

Posters not removed by this time daily will be taken down and discarded

You are required to be at your poster to discuss your work using the following parameters:

  • Odd numbered poster boards (i.e. B101, B103, B105, B237, B389, etc.) between 11:30 AM – 12:30 PM ET.
  • Even number poster boards (i.e. B100, B102, B104, B238, B390, etc.) between 2:30 – 3:30 PM ET.


Poster-build suggestions

  • Plan Early: Focus on a few key points. Use clear data presentation, purposeful color, and concise headlines.
  • Rough Layout: Sketch the poster to scale (ideally full size). Block in titles, text, figures, and tables to test balance and flow. Get feedback early.
  • Text: Avoid jargon, acronyms, and abbreviations. Use one consistent font. Minimum recommended size is 20 pt, legible from five feet.
  • Final Check: Ensure the message is clear, key points stand out, visuals and text are balanced, and the reading path is obvious.
  • Visual Balance: Figures and tables should cover slightly more than 50% of the poster. Enlarge visuals if needed; keep text brief but sufficient.
  • Eye Flow: Guide the viewer naturally through columns or rows. Use size, numbering, or subtle cues to clarify sequence.
  • Keep It Simple: More content doesn’t mean more communication. The poster should be understandable without verbal explanation.


Poster Printing

Below are two options for poster printing (not required to use):

  • PosterSmith
    • Printed on wrinkle-resistant fabric.
    • Poster presenters will get a 25% discount on the order and complimentary shipping and handling through March 15, 2026. After March 15, poster presenters can use coupon code “AAI2026 coupon” for a $15 discount.
  • FedEx Office: On-site at the Merino Convention and Exhibition Center.
    • Printed on indoor glossy banner material.
    • Poster presenters will get a 15% discount is ordered by 12:00 PM on April 7, 2026.
    • Pick up at the FedEx Office.
    • Can do same day turnaround but do handle on a first-come, first-served basis.
